Gather Retreats – Terms & Conditions

These Terms & Conditions apply to all retreats organized by Micaela Smith, trading as Gather Retreats.

By booking a retreat with Gather Retreats, you agree to the following Terms & Conditions. These policies are designed to ensure a smooth and enjoyable experience for all participants while protecting the integrity of our retreats.

1. Booking & Payment

  • A non-refundable deposit of £500 is required to secure your place.

  • The remaining balance must be paid in full by 20th April 2025. Failure to do so may result in the cancellation of your booking.

2. Cancellation & Refund Policy

  • Cancellations by Participant:

    • Deposits are non-refundable.

    • If cancellation occurs before 20th April 2025, a partial refund (minus the deposit) may be issued.

    • No refunds will be issued for cancellations made after 20th April 2025 or for no-shows.

  • Cancellations by Gather Retreats:

    • If we must cancel the retreat due to unforeseen circumstances (e.g., natural disasters, government restrictions), participants will receive a full refund or the option to transfer their booking to a future retreat.

    • We are not responsible for additional costs such as flights or travel insurance.

3. Travel & Insurance

  • Participants are responsible for booking their own flights to the retreat destination.

  • We strongly recommend purchasing travel insurance that covers trip cancellations, medical emergencies, and personal belongings.

  • Gather Retreats is not liable for any flight cancellations, missed connections, lost baggage, or other travel-related issues.

  • Participants are solely responsible for ensuring they hold valid passports with any necessary visas or travel permits for the retreat destination.

4. Minimum Guest Requirement

  • We require a minimum of 6 participants for the retreat to go ahead.

  • If the minimum number is not met, we reserve the right to cancel the retreat. In this case, you will receive a full refund or the option to transfer your booking to a future retreat.

5. Health & Safety

  • Participants must ensure they are in good physical and mental health before attending. If you have any medical conditions, please consult your doctor before booking.

  • You participate in all activities at your own risk. Gather Retreats is not responsible for any injuries, illnesses, or medical conditions that arise during the retreat.

  • Any dietary restrictions or allergies must be disclosed at the time of booking. While we strive to accommodate, we cannot guarantee a completely allergen-free environment.

6. Liability Waiver

By joining the retreat, you acknowledge and agree that:

  • You assume full responsibility for your health, safety, and well-being during the retreat.

  • Gather Retreats, its organizers, and facilitators are not liable for any accidents, injuries, loss, or damage to personal property.

  • Guests are liable for any damage caused to property, accommodations, or venues during the trip and repair/replacement costs.

  • You voluntarily participate in retreat activities, including but not limited to yoga, hiking, swimming, and water-based activities (e.g., SUP yoga), and understand the risks involved.

7. Room Options & Booking Conditions

  • Private Room:
    Total £1750. Deposit - £500.
    Available for solo travellers who prefer personal space.

  • Shared Single Room:
    Total £1550. Deposit - £500.
    Available for solo travellers who will be paired with another guest.

  • Shared Double Room:
    Total £1450. Deposit - £500. This room can only be booked if you are attending with a friend or sister. It is a discounted option designed to make the retreat more budget-friendly, and it is not available for solo travellers.

  • Please note you may not get exact room pictured on website as we have multiple different options for each room type.

8. Code of Conduct

  • We foster a supportive and inclusive environment. Disrespectful behavior, discrimination, or harassment will not be tolerated.

  • Participants must adhere to all local laws and respect the retreat venue and surrounding communities.

  • Gather Retreats reserves the right to remove any participant who disrupts the retreat experience, without refund.

9. Photography & Media Release

  • We may capture photos/videos during the retreat for promotional purposes. By attending, you grant Gather Retreats the right to use such media unless you explicitly request otherwise in writing.

10. Force Majeure

  • Gather Retreats is not responsible for cancellations or disruptions due to unforeseen events beyond our control, including but not limited to natural disasters, pandemics, political unrest, or government restrictions.

  • We reserve the right to modify the itinerary, location, or accommodation if necessary due to unforeseen circumstances. Any changes will be made with the intention of maintaining the quality of the experience.

11. Agreement

By booking and attending a Gather Retreats experience, you confirm that you have read, understood, and agree to these Terms & Conditions.
